AAP Foundation Policy on Conficts of Interest in Award Selection Processes

The purpose of this policy is to provide guidance in identifying and handling potential conflicts of interest in the processes the AAP Foundation uses to select the recipients of its scholarships and fellowships. |
The Foundation has a strong history of being created with integrity and of being operated with unquestionably high standards. However, even an appearance of impropriety in the selection of award recipients may result in the loss of donor confidence and a damaged reputation.
Procedures
- Appearance of impartiality. Members of the Foundation Board of Directors should not write letters of recommendation for applicants for Foundation awards, as such letters may be perceived as unduly influential by the members of the selection committee. Foundation Board members may nominate an individual for an award, if the Board member holds the job title required by the application to make the nomination. However, a separate letter of nomination from a different individual should be included in the application packet.
- Duty to disclose. All members of Foundation scholarship, fellowship, and other grant selection committees must disclose to the Foundation President and Executive Director the existence of any prior significant relationship with applicants (individuals and institutions) for grants or awards.
- Withdrawal. All selection committee members who have a conflict of interest related to an applicant for an award must withdraw from the committee. He/she may not participate in the ranking of applications, in personal interviews, nor in the final selection process.
- Appointment. It is the responsibility of the Foundation President to appoint a new member of the committee to replace an individual who must withdraw.
